We never want you to miss a deadline, we want you to be working months ahead of any statutory deadline, so let us help you bullet-proof your practice, by mastering deadlines or JOBS as we refer to them.
We’re big fans of the Kanban view, versus the traditional list view but everybody is different so we give you the choice to use whichever view works best for you and your staff.
‘Kanban’ is ideal for more visual users as the ‘kanban’ system means to use visual cues to prompt actions needed to keep a process flowing - so for accountancy, this system is ideal
You can change your Job view by selecting ‘switch to’ once you’ve selected ‘Jobs’ from your top bar
In Kanban view, you can really bring key information to life in the view below, I can see that I’ve missed my Internal Deadline by 2 months but luckily, I’ve still got 3 months to get these done before the statutory deadline - phew. But, I’ve got the records, what am I waiting for, best crack on and start producing the accounts!
If you’ve already done the production and not updated the card, simply select Records Received and simple update the status accordingly
You don’t have to enter the card itself, you can do this from a top level view.
Compare the same information in the LIST VIEW and you’ll see it is less informative.
If you want to customise what you seen within the Kanban card, you can by selecting ‘card layout’. The more info the better!

Right, enough about Kanban - show me how to manage my deadlines!
This is where our views and especially, Groupings, become very handy. Let’s start by going directly to our Jobs by selection ‘Jobs’ from the top bar, then ‘all job types’
There’s so much data that will be made available to you here, so try not to get overwhelmed - get comfortable with the settings instead.
Group by - is a favourite of people as you can see the Jobs and job cards by job type, staff member, week commencing, status of the job plus many other.
Grouping by staff is an excellent way to see where perhaps somebody is overloaded with work, in comparison to their team members - you could also catch some work that has been sat with a colleague who’s on holiday! Grouping by Staff is just one way to get a fantastic overview of the Jobs and what work is currently on:
If I were to see the below when grouping by Staff, and I knew that members of the team were drowning, then I'd ask ‘John Smith’ and ‘Andy Williamson’ whether they can chip in, share the workload.
It could be that they’re just well ahead of the game, but Engager is giving you the tools to have visibility to take steps to keep everything running smoothly. We’ve given you visual cues to help you make informed decisions here.
Grouping by Week is a great way to get the beginning of your week off to a flying start - in the example below, week commencing 10/06 is lovely and quiet, but why? The next few weeks like pretty hellish, so move some work around to balance out your jobs at hand - you get the picture.
When to take immediate action - RED - being such a powerful colour, is there to draw your eye to the items that need immediate attention.
The good news here, is that if the RED bar is on the lower portion of the card, you’ve missed you INTERNAL deadline, not the Statutory. Still not ideal, but at least you know that you’re not going to be coving your client’s penalty notices.
The above is a great example how we’re giving you visual queues as to what’s going on, what the hold ups are and the status of EVERY piece of work your practice currently has on.
The above is a Self Assessment that has stalled - we’re actually outside our Internal SLA here, indicated by the bottom red bar - but there’s a visual queue - somebody’s stuck and they’ve indicated that they need support to keep the job moving forwards. If you enter into that card, the team member should have left a note / tagged a Senior in for support
In actual fact, it’s on me as The Boss (TB) - I’ve been tagged - I’m the hold up here!! Time to take action.

We’ve all been there, we’ve all worked extra hours over Christmas and January to get through Self Assessment madness
Sometimes it can be a bit of a blur and it can be difficult to remain on top of this and know what status the returns are all at. Are they stuck in Review? Are we need more information?
Use Status here to really find out at what stage they’re in - so if you’re sitting there on a 31st Jan thinking everything is done, check through your Statuses
We’ve just caught 2 that are with the client to approve- let’s get on the phone to chase / provide advice and ensure that these are filed before the deadline.
Spend time with the Jobs page, you’ll find that you can filter to the most important items very quickly and then sort by Internal Deadlines, Priority etc, so find what works for you and your firm - the options made available to help with this are endless:
Why aren’t my clients appearing on the Jobs?
Check your filters and view - it could be that you’re stuck on a certain job type, staff member / could be that you’re only looking a few weeks ahead. Reset this to ALL or extend the dates and you’ll find the client appear

OK, head to your Client, check that the service is ENABLED in section 4, and that there are dates complete in section 5 - if both are fine, get in touch contact@engager.app
