Introduction
ClientEngager's new catch-up fee tool will be released to the general public on the 7th of June. This guide will walk you through how to use this feature.
Step-by-Step Guide
Step 1: Access the Catch-Up Fee Tool
- Login to ClientEngager: Start by logging into your ClientEngager account.
- Navigate to Step Six: After entering your services and setting quotes as usual, proceed to the new step called "Step Six: Catch-Up Fees".
Step 2: Specify Catch-Up Fees
- Indicate Catch-Up Fees Requirement: The system will ask if you need to calculate catch-up fees. Choose "Yes" or "No".
- If you select "No", you can proceed without any further action.
- If you select "Yes", the system will prompt you to specify the number of months for catch-up fees.
Step 3: Calculate Catch-Up Fees
- Automatic Calculation: The tool will automatically calculate the catch-up fees based on the current financial year. You can adjust the months if needed.
- For instance, if you need to account for both the current and previous financial year, you can enter 14 months.
Step 4: Confirm Service Details
- Review Each Service: The system will highlight services subject to catch-up fees.
- Adjust Months: Confirm and adjust the number of months for each service if needed.
- Example: If a service only requires two months of catch-up fees, you can set it accordingly.
Step 5: Review and Copy Fees
- Monthly Fee Calculation: The tool will calculate the total catch-up fee by multiplying the monthly fee by the number of months.
- Review Totals: Copy the calculated amounts for each service.
Step 6: Payment Options
- Choose Payment Method: Decide if the client will pay in one lump sum or in monthly installments.
- Lump Sum: The total amount is due in one payment.
- Installments: Specify the number of installments, and the system will adjust the monthly fee accordingly.
Step 7: Customize Fees
- Adjust Fee Amounts: Optionally, adjust fees to round numbers or add custom fees.
- Example: Add a custom one-month fee of £100.
- Apply Discounts: If the client negotiates a discount, you can apply it and the system will recalculate the fees.
Step 8: Generate Letters of Engagement
- Save Changes: Save all the details and changes.
- Generate Document: Navigate to your letters of engagement and generate the document. There will be a new page detailing the catch-up fees.
- This page will explain the catch-up fees, list included services, and provide a breakdown of the total fees, discounts, VAT, and the payment schedule.
Step 9: Finalize Payment Plan
- Set First Payment Date: Enter the date for the first installment.
- Review Payment Schedule: The tool will generate a detailed payment plan showing the balance and installment breakdowns.
